RECOMMENDED ACTION (Motion):

Staff recommends approving a two-year extension of the existing contract of Polar Systems for Information Technology Support and Services.

 

BACKGROUND:

Polar Systems was contracted in July of 2013 to provide consulting services for desktop and networking support for the City. The intent at the time was to establish a 2-year contract with a vendor, with an option to extend the contract an additional 2-years upon completion of the initial term, as advertised in the Request for Proposals. Staff recommendation is to extend the service contract for another 2-year term.

 

During the last 2 years, Polar has assisted the City in upgrading workstations and laptops across the entire city, implementing a virtualized server environment, deploying significant mobile and enterprise software for all departments, and assisted the City in laying a roadmap for further specific network improvements - all intended to enhance access to City services to Citizens and staff.  We are midway through those changes now and recognize the importance of continuity on these network projects. They include additional fiber optic connectivity between facilities, re-routing access to our Internet Service provider to improve speed and reduce expenditures, as well as increasing security and stability of our overall computing needs.

 

BUDGET IMPACT:

Amount:  $408,840 for 2-year contract
